STACK provides a default list of 13 standard project statuses to help you organize and track the progress of your projects through the takeoff and estimate process.

  • Not Set
  • Bidding
  • Bid Submitted
  • Pending Bid Results
  • Won
  • Lost
  • In Progress
  • On Hold
  • Completed
  • Awaiting Approval
  • Awaiting Additional Information
  • Project Declined
  • Project Requires Approval

While these statuses cover most scenarios, you do have the ability to customize the list of project statuses to fit your specific needs. You can edit or delete the STACK provided statuses and create your own statuses. You can also customize the color associated with each status.

What to Know

  • You do not have to create project statuses, by default STACK provides 13 project statuses for your use.
  • You must be an Account Owner or other user with a role/permissions to access Account Settings in order to add, edit, or delete project statuses.
  • You can delete or rename and change the color and workflow status of any Project Status.
  • You can add your own project statuses. (25 total project statuses max)
  • Each Project Status must be assigned a Workflow Status - Undecided, In Progress, Not Bidding, Bid Completed, Won, or Lost.
    • You must have at least five project statuses, one assigned each of the workflow statuses.
    • You will not be able to delete a Project Status unless there is another Project Status assigned the same Workflow Status.
  • Custom Project Statuses will not be displayed on Shared Projects.

Add or Edit a Project Status

NOTE: You must be an Account Owner or other user with a role/permissions to access Account Settings in order to add, edit, or delete project statuses.

  1. Click the Settings icon at the right of the main navigation toolbar.
  2. Select Account Settings from the dropdown menu.
  3. Click Company Settings on the left panel.
     
  4. Scroll down to the Project Settings section.
  5. Click the Edit (pencil) icon to the right of Project Status.
    (Project Status is located under Project Fields.)
  6. The Edit Project Statuses dialog box will open so you can add or edit a status.
    • To add a new status: 
      • Scroll to the bottom of the status list and click Add Another Status.
        The New Status will be added to the bottom of the list and assigned the default Workflow Status of Undecided.
    • To edit an existing status: 
      • Find the status you want to edit on the list.
  7. (Optional) Click the color box to the left of the status to customize the status color.
    • You can use the color picker or enter RGB, HSL, or HEX numbers.
      (Click the arrows at the bottom of the color selector box to switch between RGB, HSL, and HEX. )
    • Press Enter on your keyboard when done.
  8. Click on the Status Name and type in a new name. (32 characters max)
  9. Click on the Workflow Status and select the desired Workflow Status - Undecided, In Progress, Not Bidding, Bid Completed, Won, or Lost - from the dropdown.

NOTE: You can manually change the order in which your Project Statuses appear on the list by clicking the dots to the left of a Project Status and dragging it to the position you want on the list. The order Project Statuses appear on this list is the order they will appear on the Project Status dropdown menu in your projects. When you create a new project, it will be assigned the first Project Status on your list by default. 


Delete a Project Status

NOTE: You must be an Account Owner or other user with a role/permissions to access Account Settings in order to add, edit, or delete project statuses.

  1. Click the Settings icon (person w/gear) at the right of the main navigation toolbar.
  2. Select Account Settings from the dropdown menu.
  3. Click Company Settings on the left panel.

  4. Scroll down to the Project Settings section.
  5. Click the Edit icon (pencil) to the right of Project Status.
    (Project Status is located under Project Fields.)
  6. Click the Trash icon to the right of the Project Status you want to delete.
    NOTE: If there is no Trash icon next to a Project Status, it can't be deleted because there is not another Project Status currently assigned the same Workflow Status. You must add/edit another Project Status to have the same Workflow Status before you can delete.
  7. Click the checkmark to confirm.

NOTE: If you delete a Project Status that is currently assigned to any projects, you'll be prompted to set a new status for those projects.
